A Smoky Mountains reunion works best when the logistics are settled early and the days stay loose. This checklist runs from the first group text to the last morning. The venue rules and capacities come from each venue's own website and were checked in October 2026.
9 to 12 months out: dates, headcount and the house
- Pick dates around the people who travel farthest. Summer, October leaf season and holiday weeks book up first for large homes.
- Count heads by age group (adults, teens, kids under 10, infants). You will need these numbers for beds, tickets and meals.
- Choose one big cabin or several small ones. One home keeps meals, games and late-night talks in one place. Several cabins add privacy but mean more driving.
- Check the cabin really fits. Ask for the bed-by-bed list, the bathroom count, how many vehicles can park and how many levels the stairs cover.
- Read the cancellation policy before you pay. At our homes, cancelling more than 30 days before check-in gets a 100% refund, and cancellations within 30 days are not refunded.
- Collect deposits from each household with a simple shared spreadsheet so one person isn't carrying the cost.
Matching your group to a home
| Home | Sleeps | Bedrooms / baths | Good to know |
|---|---|---|---|
| Tanasi Lodge | 30 | 10 / 8 | 8 king bedrooms, theater, arcade, hot tub, 2 kitchens; free seasonal neighborhood pool about 2 miles away; 1 pet allowed; entrance on the lower level |
| Majestica Lodge | 28 | 6 / 6 full + 2 half | Private seasonal pool, pickleball, climbing wall, elevator and accessible main level |

3 to 6 months out: reserve group meals and activities
- A big sit-down dinner. The Park Grill in Gatlinburg takes advance group bookings for up to 150 guests and has private rooms for up to 56 (Wright's Roost), 38 (Abram's Room) and 36 (the semi-private Wildlife Room). Calhoun's Gatlinburg holds banquets for up to 40. In Pigeon Forge, Mama's Farmhouse has a semi-private space called The Barn for up to 92.
- Dollywood. Book group tickets at least 2 weeks ahead to get 1 free ticket per 15 bought at the regular group rate (Dollywood Groups).
- A dinner show. Dolly Parton's Stampede has group pricing for 20 or more.
- A park pavilion for the reunion picnic. Wear Farm City Park pavilions can be reserved March 1 to October 31; booking opens in January.
- Reunion T-shirts or name tags: [AMAZON LINK – placeholder]
1 month out: the details that save the week
- Plan meals by household. Give each family one dinner to cook, with a shared grocery list. Large kitchens make this easy: Tanasi Lodge has two kitchens and Majestica has a dining hall plus a covered dining pavilion.
- Grocery delivery for arrival day: [INSTACART LINK – placeholder]
- National park parking tags: $5 daily, $15 weekly or $40 annual per vehicle, needed for any vehicle parked for more than 15 minutes (NPS).
- Room assignments. Put light sleepers and grandparents near the main level, and teens near the bunk rooms and game rooms.
- Accessibility. If someone uses a wheelchair or can't manage stairs, ask about elevators and step-free entry. Majestica has an elevator and an accessible main level.
- Activities for every age: a theater movie night, a pool or swim-spa afternoon, an arcade tournament and a fire-pit evening cover most ages without anyone getting in a car.
Reunion week: arrival and staying safe
- Arrive in daylight if you can. Mountain roads are steep and winding, and GPS can be unreliable near the top. Follow the written directions your host sends.
- Check-in is 4:00 PM and check-out is 10:00 AM at our homes. Stagger arrivals so the first family can stock the kitchen.
- Bears are common. Several of our guests mention seeing bears from the deck. Lock cars, never leave food or trash outside, and keep a safe distance. The NPS publishes black bear safety guidance.
- Take the group photo early in the week, while everyone is still in town.

Quick answers
How far ahead should we book a cabin for a family reunion in the Smokies?
Large homes for 20 to 30 people are scarce, so book as early as you can, ideally 9 to 12 months ahead for summer, fall-color season or holiday weeks. Check the cancellation policy before you pay. At our homes, cancelling more than 30 days before check-in gets a 100% refund.
Which Gatlinburg restaurants take large group reservations?
The Park Grill has private rooms for up to 56 guests and hosts parties of up to 150. Calhoun's Gatlinburg holds banquets for up to 40. Bennett's Pit Bar-B-Que has a semi-private dining area for about 45 but does not take reservations; it offers group pricing for 20 or more and bulk to-go.
Is one big cabin better than several small cabins for a reunion?
One large cabin keeps everyone together for meals, games and evenings, which is usually the point of a reunion. Check that it truly sleeps your headcount in real beds, and that it has enough bathrooms and parking.
